Dr. Haskell – Cardiac Surgery: Newport Heart, Two offices, Southern California

Problem:

Reimbursement was a complete nightmare. When we had charts and medical records separate, we had to wait for the hospital to send the record. Then we'd have to call back when the wrong one arrived. When we needed to find information, we had to waste time searching. 90% of the time the records were not there when we needed to bill. The dates sometimes did not coincide with one another and those types of details would entail hours of time and delay the billing by weeks.

Solution:

Alteer® linked everything together–the chart and medical record, appropriate codes and matching dates, and capture of information on all tests done instead of billing based on just limited, dictated words. We were able to create the electronic bill to Medicare plus other payers immediately and get paid in 90 days. Even on paper claims, we get fewer claims kicked back, and we can prepare narratives much faster when they are needed. We have an immediate record of dates that show documentation was sent and can immediately submit another copy without delays.

Result:

Cash flow is so much better; our staff is totally focused on timely payments. Our accounts aging has decreased, too-by about 25%. Patient care is better, because we respond much quicker, and we can thoroughly inform them, up to the minute, on their financial account status. We make a much better impression on our referring doctors, because they know that, while we are one of the busier practices, we use an efficient system and they can count on getting information from you that's accurate and very prompt. Our office is neater; we're not shouting to one another asking for paperwork when we handle incoming phone calls from pharmacies or patients; and two new staff members say they cannot imagine working without the service and electronic system. Our doctors find it much easier to function without all the paperwork around them and don't need to be consistently interpreting their handwritten notes to staff.
